The short version: your files never leave your computer. Magic Rename reads them where they sit, and there is no server that could receive a file, a file name, or anything read out of one. The only data we hold is what an account and a subscription need: your email address and whether Pro is active.

We never receive, store, transmit, or process your files or their contents. Every part of the analysis runs on the machine the app is installed on: image recognition and OCR for photos, screenshots, and scans; the embedded text layer of a PDF; the text inside Word, Excel, and PowerPoint documents; and the metadata of a video or audio file. The proposed names are composed there too.
This is not a promise we ask you to take on faith. The apps' own test suites fail the build if any file-reading service acquires a network dependency, so a future version cannot quietly start uploading what this one does not.
On a Mac that supports Apple Intelligence, and on a Copilot+ PC, a language model that ships with the operating system writes the phrasing of a name. It runs locally, like everything else. Nothing is sent to us, to Apple or Microsoft, or to any AI provider. On machines without that hardware the app uses a deterministic namer instead and works the same way — there is no cloud fallback.
Only if you choose to create an account or buy Pro:
You can use Magic Rename without an account at all. Renaming, including the free monthly allowance, needs no sign-in and no internet connection.
Magic Rename contains no advertising SDK, no analytics SDK, and no tracking of any kind. We do not sell or share personal information, and we do not use anything for cross-context behavioral advertising.
On a Mac, Pro is bought through the Mac App Store and Apple handles the payment. On Windows, Pro is bought on this website through our payment provider. Either way we never see or store your card details — we only learn that a subscription exists and whether it is active.
Three, and only to run accounts and subscriptions:
None of them receives your files, your file names, or anything read out of them.
We keep the account record for as long as the account exists. Email [email protected] from the address on the account and we delete it, and its subscription status, within 30 days. Deleting the app by itself does not delete the account, and deleting the account does not cancel a subscription bought on the Mac App Store — cancel that under Subscriptions first. Depending on where you live — including under the GDPR and the CCPA/CPRA — you may have the right to access, correct, export, or delete the personal information we hold, and to withdraw consent. Because we hold an email address and a yes-or-no subscription flag, these requests are usually a single reply. Contact us and we will action it.
Magic Rename is a general-purpose utility, is not directed to children under 13, and we do not knowingly collect personal information from them.
The account and subscription infrastructure runs in the United States. Because your files never leave your computer, no file data is transferred anywhere at all.
If we make a material change we will update this page and the date above. Continued use after a change means you accept the updated policy.
