SystemZen Privacy Policy

Last updated: July 2026 · Covers SystemZen for macOS, Windows, iPhone, iPad, and Android

The short version. SystemZen scans your device on your device. The names of your files, your photos, and the apps you have installed are never sent to us or to anyone else. If you sign in, we store your email address and a short one-line summary of each maintenance run so your history follows you between devices. The free tier of the iPhone, iPad, and Android apps shows ads, which means Google receives the usual advertising signals described below; the Mac and Windows apps show no ads at all.

SystemZen is published by Soft Flourish (California, USA). This policy explains what the app collects, why, and what you can do about it.

What stays on your device

Scanning is entirely local. The following never leave your device, and there is no endpoint on our servers that could receive them:

  • File and folder names, paths, and contents — including anything SystemZen offers to clean.
  • Your photos and videos, and the fingerprints used to detect duplicates among them.
  • The list of apps installed on your device, and their individual storage, battery, or data figures.
  • Anything you type into the in-app search field, which is a local filter and nothing more.

What we collect when you sign in

Signing in is optional — every scan and every tool works without an account. It exists so your maintenance history is available on your other devices. When you do sign in, we store:

DataWhy
Email addressIdentifies your account for both email/password and Google sign-in.
Account identifierThe internal user ID your history is filed under.
NameOnly if you sign in with Google, which supplies your display name. Signing up with an email address and password never asks for a name.
Maintenance historyFor each completed run: what kind it was, roughly how much space it reclaimed, how many items it touched, when, and a device label such as “Google Pixel 8”. The stored summary looks like “Reclaimed 1.2 GB · 34 items” — never a list of what those items were.

Accounts and history are held in Google Firebase (Authentication and Cloud Firestore) on our behalf. All of it is encrypted in transit.

Advertising — free tier, mobile only

The iPhone, iPad, and Android apps are supported by ads on the free tier, served by Google AdMob. SystemZen Pro removes them. The Mac and Windows apps contain no advertising code whatsoever.

When an ad is requested, Google collects and receives:

  • Approximate location — a coarse region derived from your IP address. The app holds no location permission and never reads your GPS.
  • App interactions — which ads were shown, viewed, or tapped.
  • Diagnostics — app performance signals such as launch time and energy use.
  • Device or other identifiers — the advertising identifier and the app instance identifier.

These go to Google as an advertising partner and are used for advertising, analytics, and fraud prevention. Google's handling is governed by its own privacy policy. On iPhone and iPad we ask for App Tracking Transparency permission; declining means you still see ads, but they are not personalized. On Android you can reset or delete your advertising ID under Settings → Privacy → Ads.

Analytics

The mobile apps include Google Firebase Analytics, which automatically records app opens, screen views, session length, and basic device and performance information. We use it to see which features are actually used and where the app is slow. We do not upload custom events describing your files or scan contents.

Retention

  • Account and history — kept until you delete your account, then erased immediately. See Delete Your Account & Data.
  • Encrypted operational backups — deleted records may survive in backups for up to 30 days before those roll off.
  • Advertising and analytics data — retained by Google under its own retention schedules, not ours.

Your choices

  • Use SystemZen without signing in — nothing about you is stored at all.
  • Delete your account and history from inside the app at any time, or by email if you cannot sign in: Delete Your Account & Data.
  • Reset your advertising identifier in your device settings, or decline tracking on iOS.
  • Depending on where you live, you may have rights to access, correct, export, or erase your personal data, and to object to its processing. Write to [email protected] and we will respond within 30 days. We do not sell personal information.

Permissions the app may ask for

Each is requested only when you use the feature that needs it, and declining leaves the rest of the app working:

  • Storage / folder access — so a scan can measure and clean the folders you point it at. SystemZen only ever sees the locations you grant.
  • Usage Access (Android) — so per-app data and battery totals are real numbers rather than estimates.
  • Notifications — for scheduled maintenance results, if you enable them.

Children

SystemZen is not directed to children and is rated for general audiences aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has given us data, write to us and we will delete it.

Changes

If this policy changes materially we will update the date at the top and, where the change affects what we collect, note it in the app's release notes.
